Automynds, LLC is a Texas limited liability company at 600 Cantegral St, Dallas, TX 75204. This policy covers automynds.com and anything you send us through it or by email at hello@automynds.com.
THE SHORT VERSION
- We collect what you type into our forms and the answers you give in our fit check. We don't ask for patient information.
- We use it to reply to you, send what you asked for, and figure out whether we're a fit.
- A few vendors handle it for us: Cloudflare, Resend, Google Workspace and Macro.
- We use AI tools to read and organize inquiries. A person reads every message and every reply.
- We don't sell your personal information, we don't use ad trackers, and we don't add you to a mailing list.
- Email hello@automynds.com to see, fix or delete what we have about you.
Who this covers
This site is for clinic owners and staff in the United States. It isn't aimed at visitors in other countries.
When a clinic hires us, we handle that clinic's data under our client agreement and its data processing addendum. That agreement, not this page, governs client data. If you're a patient of a clinic we work with, please contact the clinic.

What we don't ask for
Our forms ask about your business, not your patients. Please don't send patient names, health details or anything else about patients. If you do, we delete it when we find it.
We don't ask for payment details, Social Security numbers or other sensitive information on this site.
How we use it
- To reply to your message and send what you asked for, such as the front-desk review script.
- To decide whether we're a fit and prepare for a call.
- To keep the site and its forms secure and working.
- To understand which pages people read.
- To meet legal obligations.
We don't make automated decisions about you that have legal or similar effects.
AI tools
We use AI tools to read, summarize and organize inquiries and to help draft replies. Today those are Macro's built-in AI features and Claude, made by Anthropic. These tools can see the information in our lead records and inbox, including messages you send us.
A person on our team reads every inquiry and every reply before it goes out.
Neither tool trains on your information: model training is turned off in Claude, and Macro's AI doesn't train on our workspace. We don't use your information to train our own models.
Who processes it
Cloudflare hosts the site and our form database, checks for bots (Turnstile), limits form abuse, and counts page views.
Resend delivers our emails.
Google Workspace hosts our inbox, hello@automynds.com, which receives a copy of every form submission.
Macro runs our booking page and our lead tracker, including its AI features.
We may also share information with our lawyers and accountants, when the law requires it, or with a buyer if we sell or merge the business.
We don't sell your information
We don't sell your personal information, and we don't share it with anyone for targeted advertising.
Cookies and Do Not Track
We don't use advertising or tracking cookies, and we don't let any third party use our site to follow you across other sites. Cloudflare Web Analytics counts visits without cookies. Cloudflare may set cookies needed for security.
Because we don't track you across sites, our site works the same whether or not your browser sends a Do Not Track or Global Privacy Control signal. There's no tracking for those signals to turn off.
We send only the email you asked for and our replies. We don't add you to a newsletter or marketing list. If we ever start one, we'll ask you first.
How long we keep it
We keep inquiries while they're useful for following up or for our business records, then delete them. Form records in our site database are deleted automatically after 24 months. Copies in our inbox and lead tracker stay until we delete them. You can ask us to delete them at any time.
How we protect it
We use reasonable administrative, technical and physical safeguards, including two-factor sign-in on the accounts that hold your data and access limited to our team. No method of sending or storing data is completely secure, so we can't guarantee it.
Your choices and rights
Wherever you live, you can ask us to:
- Tell you what personal information we have about you.
- Correct it.
- Delete it, including the copies in our inbox and lead tracker.
Email hello@automynds.com from the address you used with us. We'll answer within 45 days. If we turn down your request, reply with "Appeal" and we'll review it again. If you're still not satisfied, you can contact your state attorney general.
Texas privacy note
We're a Texas business. Whether or not a particular state privacy law applies to a company our size, we give everyone the rights above. We don't sell sensitive personal data.
Children
This site is for businesses and isn't meant for children under 13. We don't knowingly collect information from children. If you think a child has sent us information, email us and we'll delete it.
Changes to this policy
When we change this policy, we update the date at the top and describe the change there. If we start using advertising tags, we'll update this policy first, and the tags won't load until you allow them. If we want to use information we already have in a new way, such as for AI training, we'll ask you first.
